Choosing a WhatsApp Business API provider

Every platform on this market runs on the same Meta Cloud API, so nobody wins on “official API”. What separates them is what happens around it: whether you keep your number, who bills the conversations, what the software does when a customer replies at 11pm, and who you call when something breaks. Here is the checklist we would use.
Which is the best WhatsApp Business API provider in India?
There is no single best one — there is a best fit, and eight questions that decide it: does it support Coexistence so you keep the number and app you already use; is the software price published; are Meta’s conversation charges billed by Meta directly to you or marked up by the vendor; is there a real chatbot builder and can you bring your own AI model; are catalogue and flows handled in-app or sent to Meta’s dashboards; does a CRM come with it or is it another subscription; where does your data live; and does a person set it up with you. What actually separates one provider from another
Ask every shortlisted vendor these, in this order. The answers are usually on their pricing page — and when they are not, that is itself an answer.
1. Can I keep my number and my phone?
Coexistence lets the WhatsApp Business app keep running on the handset while the team works the same number from a shared inbox. Without it, going on the API means losing the app, and often the chat history with it.
2. Is the software price published?

3. Who bills the conversations?

4. Is there a real chatbot builder?

6. Are catalogue and flows handled in-app?
Plenty of platforms send you to Meta Commerce Manager for products and expect Flow JSON for forms. Both should be built, published and synced from the same place you answer messages.
7. Does a CRM come with it?
A WhatsApp inbox without a customer record is a chat app with reporting. Contacts with your own fields, tags and pipelines should be included — and if you outgrow it, join it to a full CRM without migrating anything.
8. Where does my data live, and can I leave?
Your own schema, hosted in India, with export on request and deletion honoured within 30 days. Self-hosting on your own Postgres if you need it. A provider who cannot answer this in one sentence is answering it.
Four steps, about a week
Write down your own numbers
How many people will answer messages, how many numbers, how many conversations a month, and which of catalogue, flows, chatbot and AI you actually need this quarter. Most quotes go wrong here.
Ask the eight questions in writing
Email the checklist to each shortlisted vendor. Published answers beat sales calls, and the ones who answer slowly now will answer slowly later.
Demand a demo on your own case
Not a generic tour: your enquiry, your price list, your booking form. Ask to see the 24-hour window, a template being submitted, and a chatbot handing over to a human.
Total the real cost
Software plus Meta's conversation charges plus AI usage plus any per-agent or per-number add-on, for the volume you wrote down in step one. Then check what it costs to leave.
